Architecting a Digital Ecosystem to Empower Black Entrepreneurs

How we built a multi-faceted, integrated platform for the Russell Innovation Center for Entrepreneurs (RICE) to manage stakeholders, streamline operations, and scale their impact.

A Visionary Mission Facing Systemic Complexity

RICE is a vital hub for Black entrepreneurs, offering resources, mentorship, and community. As they grew, their operational needs became increasingly complex. They were juggling disconnected systems for managing stakeholders, scheduling events, processing applications, and communicating with their community. This fragmentation created inefficiencies and made it difficult to get a holistic view of their impact.

Building a Unified, Empathetic System

Our partnership was a deep, multi-phased engagement to build a true digital ecosystem. We designed and developed a stakeholder management portal, a sophisticated event calendar with automated scheduling, and a streamlined application and approval workflow. By integrating these disparate functions into one cohesive system, we eliminated data silos and automated dozens of manual tasks, freeing the RICE team to focus on serving their entrepreneurs.

Project Scope & Implementation

Unified Digital Calendar System

  • Created a single, dynamic calendar with department-specific entries.
  • Enabled a structured approval process ensuring alignment across departments.
  • Allowed for automatic event publishing upon final approval.

Stakeholder Event Integration

  • Incorporated stakeholder-specific stages into the scheduling framework.
  • Provided custom views for different stakeholder groups to enhance user experience.

Automated Approval Workflow

  • Developed an approval pipeline within Monday.com.
  • Once an event request was submitted, it followed a predefined approval process.
  • Upon approval, events were published in real-time to the central Monday.com board and displayed on stakeholders.russellcenter.org/calendar

Custom Access & Visibility Controls

  • Implemented role-based access restrictions.
  • Designed hidden calendar entries for internal use, only visible to authorized personnel.
  • Dynamic tabs appear based on user login credentials and access levels.

Seamless Real-Time Updates

  • Integrated Monday.com automation to instantly reflect approved events on the public calendar.
  • Eliminated manual data entry errors, ensuring accurate and up-to-date information.

A Scalable Platform for a Growing Mission

The integrated ecosystem transformed RICE’s operational capacity. With a single source of truth and automated workflows, the team could work more efficiently and gain deeper insights into their community, positioning them for sustainable, long-term growth.
